This project involves the conversion from traditional paper patient medical records to a new electronic medical records system produced by EPIC systems. In order to facilitate this transition, a new metal wall backing was installed to support wall mounted articulating arm assemblies that are self-contained with computers, monitors, PC/thin clients, CPU’S, and medication bar code scanners, along with the power data and HVAC infrastructure to support this equipment. Additionally, printers and status boards were strategically placed at nurse’s stations throughout the medical center for easy access when needed. In total, this system was implemented in approximately 300 rooms across the entire medical center. To execute this project, the team performed intense coordination with all stakeholders and broke up the work into 11 phases.

Each phase was completed in one week intervals from the time spaces were closed until occupancy was granted by OSHPD and involved multiple work shifts. In addition to the EPIC work, the team was able to incorporate renovations to the patient rooms without impacting the overall completion of each phase. Among the greatest challenges were hourly schedule management, as well as identifying non-compliant existing conditions and incorporating solutions to correct them without extending the planned duration of each phase. Over the course of 11 phases, the team never failed to obtain occupancy as planned. Schedule execution and minimal impact to operations were critical to success,especially since this project took place during peak census periods and within a hospital that operates at capacity during this time.
